We will explain in this article how to send colleagues an email inviting them to a termbase as the first step towards collaboration in Lexeri.
Adding users by email
The first step if you want to send an email inviting colleagues to join a termbase is to select the matching termbase in your termbase list. To do this, go to the Shares tab in the navigation bar at the top to access the Share area.
Then go to the Outstanding invitations section at the bottom of the screen to send fresh invitations to colleagues who should be able to access the termbase in future.
A form then opens in which you can add the email address of the colleague you wish to invite.
Assigning the user roles
The next step is to select the database user roles for your colleague, which assigns them rights and tasks for collaborating on the termbase. Users can have several roles at the same time, for instance the role of the terminology manager and a terminologist.
Click on Save as soon as you have selected one or several user roles. The user will automatically be sent an email invitation, which they can accept by clicking on the enclosed link. This gives them direct access to the database.
The invitation is then shown under Outstanding invitations in the Share area.
As soon as the colleague has accepted the invitation by clicking on the link in the email, their user profile will appear on the list of users in the Share area. Depending on the rights assigned to their user role, your colleague can then conduct research in the termbase and work with it.
